Who we are

Yorkshire Karaoke Community (YKC) is a community group that runs Bollywood karaoke events in Yorkshire. For anything in this notice, contact our privacy contact: our contact form.

What we collect and why

When you register for an event we collect your name, contact details and the details of your booking so we can run the event you have booked (this is our contract basis in data protection terms). If you tell us about dietary or accessibility needs, you share those voluntarily so we can look after you on the day; only event organisers see them and we delete them 30 days after the event. If you sing, we collect your song choices and karaoke links to prepare the running order. Payment is taken by Stripe on their secure page; we never see or store your card details, only the amount, reference and payment status, which we keep for our accounts. If you contact us, we keep your enquiry while we deal with it. If you tick the newsletter box when booking, or subscribe from the form in the site footer, we use your email address to send you YKC news with your consent; every newsletter includes a one-click unsubscribe link, and we keep your email only until you unsubscribe or ask us to erase it.

Backing tracks you upload

If you sing, you can upload a backing track file for each of your songs from your booking link, so the host can play the version you want. We use it only to run your performance on the night. Tracks are held in private storage on our server, are never published or linked from the public site, and can only be opened by event organisers or by you through your own booking link. You can replace or remove your track yourself at any time before the registration deadline. We delete every uploaded track permanently 5 days after the event, and sooner for bookings that were never paid for.

Rating performances on the night

On the day of an event, the performers page lets anyone in the audience give each song a star rating. This is anonymous: we store only the score, the song it belongs to, and a random code we generate for the device you are using so a score can be counted once and changed by you during the evening. That code is not linked to your name, your booking or any other record, and it tells us nothing about who you are. We keep the ratings as the results of the event, which stay published on the event's performers page.

Photos and videos

We take photographs and record performances at our events to celebrate and promote the community. If you perform, we only publish a video of your performance on our website and social channels with your consent, which you give (or decline) when you register. You can withdraw consent at any time by contacting us and we will take the content down from the places we control promptly. Signs at the venue and an announcement at the start of each event explain photography on the night, and anyone can ask us not to use a particular image, no questions asked. We never publish a child's name with their image, and images of identifiable children are only used with a parent or guardian's consent.

Who we share data with

Stripe (payments), our hosting provider (the secure server the website runs on), our email service (sending confirmations and updates), and YouTube (Google), which hosts our performance videos: if you press play on an embedded video, YouTube will process your data under Google's privacy policy. We never sell your data.

How long we keep things

Booking details for up to 24 months after the event, then anonymised. Dietary and accessibility notes for 30 days after the event. Karaoke links for 6 months after the event. Uploaded backing tracks for 5 days after the event, then deleted permanently. Payment records for 6 years as accounting records. Enquiries for 12 months after our final reply. Newsletter email addresses until you unsubscribe or ask us to erase them. Anonymous song ratings and their random device code are kept as the event results, with no personal data attached. Photos and videos for as long as your consent stands, reviewed yearly. Our WhatsApp community is optional; be aware that group members can see each other's phone numbers.

Your rights

You can ask for a copy of your data, ask us to correct or delete it, object to how we use it, and withdraw any consent at any time, by contacting our contact form. We reply within one month. If you are unhappy with our answer you can complain to the Information Commissioner's Office at ico.org.uk.
